What personal information we collect about you
In order to provide you with our services and membership and to comply with the law and regulations, we will need to collect and process personal data about you. If you do not provide the information we require, whether it is necessary to enter into a contract with you and/or comply with our legal and regulatory obligations, it may delay or prevent us from meeting our obligations and may mean that unfortunately we will not be able to provide our services, membership or products to you.
Information we collect and hold may include:
Full name; Address (including previous addresses); Email address; Phone Number(s); Date of Birth; Nationality; Password(s) for website; Marketing Preferences and any permission or consent you give us regarding your personal data.
Payment Card Details
Card payments are processed via Worldpay (UK) Ltd. When a card payment is made over the phone, a member of staff enters the information into the Worldpay Virtual Terminal. The BHRC do not keep a record of your card details.
How do we collect the information from you
We collect information in different ways – From the information you give us when you apply for or purchase our services, membership and/or products; When you talk to us on the phone; When you use BHRC Website and from Emails and Letters.
Why we collect your personal data and the lawful basis we rely on to process it
Data Protection Law says that we are permitted to process your personal information if we have one or more of the following lawful reasons:
- To fulfil a contract we have with you
- When it is needed to comply with our legal duty
- When it is in our legitimate interest
- When you give us your consent
A legitimate interest means that we have a commercial or business reason to use your information. However, even then it must not unfairly go against what is right for you. We rely on our legitimate interest so that we can govern the sport of Harness Racing in Great Britain in compliance with the rules and regulations.

- To provide products and services with regard to the sport of Harness Racing
- To provide membership services
- To collect any payment that is owed to us

In order to provide you with our services and to comply with the law and other regulations, we may share your personal data with third parties. However, those third parties are also bound to keep your personal data secure and confidential.

If we share your information with organisations in a country outside the UK, we will ensure that they have or agree to apply equivalent levels of protection unless this is not possible but we are required by law to share the information in any event.
Sending your information outside the EEA
We will only send your information outside the EEA if we are following your instructions, complying with a request from another Harness Racing Regulator or complying with a legal duty or working with Fraud Prevention Agencies.
Marketing
We may use your information to tell you about relevant products and services which we consider would be interesting or suitable for you. We can and will only send you marketing if you have positively given us your consent in advance.
Retention of Personal Information
Personal Information will be retained indefinitely whilst it is linked with the sport as the breeder, owner, keeper, trainer or driver.
Your rights in relation to your information
Under the Law you have various rights in relation to your information.
- You have the right to request access to your personal data at any time by contacting us. We will aim to provide you with access to your information within one month of receiving your request.
The request for information should be made in writing and before complying with your request, we are obliged to verify your identity which will include a request for a copy of a recent utility bill or bank statement and a copy of your passport or photo-card driving licence. - You have the right to ask us to correct your information if you think it is incorrect. Please contact us in writing if you need to do this. We will aim to correct information without undue delay.
- You have the right to object to marketing and can withdraw consent if you have previously given consent.
- You have the right to be forgotten, and may request that any personal information that we no longer have a legal or legitimate ground to rely on, be deleted.
- You have the right to request to receive a copy of the personal data we process in a format that can be reused or ask us to transfer your information to another organisation where possible.
- You have the right to complain and if you are unhappy with any aspect of how we treat your personal information, please contact a Data Protection Officer.
